A new, exciting Contract Administrator job with a multidisciplinary consulting firm in Los Angeles.

Contract Administrator will direct and monitor the day-to-day work for commercial and procurement management tasks delegated to any assigned Contract Administrators and Procurement Specialists.

Project Details

The Contractor Administrator’s role will be to lead the commercial management of mid-sized contracts and Procurements between $80M to $250M in capital value under the supervision of a supervisor.

The successful candidate will be qualified to manage medium risk contracts & Procurements.
Contract Administrator will be Leading communications with the team and client on mid-sized Contracts or assigned Contract elements of larger Contracts and will be accountable for commercial performance of assigned mid-sized contracts or commercial elements of larger contracts.

This is an office-based role.

Responsibilities and Duties

The job duties of the Contract Administrator in Los Angeles will include the following:
 

  • Provides overall management and coordination of senior contract administrator and senior procurement specialists activities in the procurements and commercial management of contracts under various programs and projects.
  • Providing leadership and oversight of commercial team members in performing commercial management and administration of contracts and procurements.
  • Manage team dynamics and performance related issues including review and approval of timesheets, vacation requests, employee evaluations, employee engagements, etc.
  • Interaction with the client representatives on team performance and overall deliverable issues
  • Developing new commercial plans, processes or administration and reporting methods in consultation with stakeholders, including clients and staff.
  • Outlining the human and material resources requirements to successfully administer and manage procurements, contracts or other commercial elements.
  • Formulating a resource allocation strategy and utilizing this to distribute work against various contracts, claims, procurements or other commercial issues.
  • Exercising authority in managing the work and controlling the management of contracts and procurements in accordance with the commercial and procurement management plans.
  • Monitoring commercial and procurement staff performance to ensure excellence and adherence to specified deadlines, policies and procedures.
  • Reviewing and ensuring adherence to the overall commercial terms, schedule and budget.
  • Identifying commercial risks and implementing mitigation strategies and contingency plans through both the procurement process and during the administration of the contracts.
  • Tracking, monitoring and reporting on performance against commercial requirements, schedule, milestones, budgets, quality measures, and KPIs (Key Performance Indicators), and addressing issues with corrective actions as appropriate.
  • Evaluating and providing assurance on contractual requirements and effectiveness by consulting with clients and commercial staff.
  • Consulting with the assigned Contract Administrator or Project Supervisor to seek guidance and input during the key phases of the contract, services or project.

Desired Skills and Experience

  • 8 to 12 years of experience in Contract or Procurement and Supply Chain Management.
  • In-depth understanding of prevailing commercial and procurement management methods.
  • In-depth understanding of tools and metrics needed to evaluate contract performance.
  • Proficiency in MS Office Suites, as well as proficiency in project management software
  • Ability to learn other commercial management, procurement, and project management software on the job
  • Effective ability to negotiate terms under contracts.
  • Excellent reading and language comprehension.
  • Highly organized and able to multitask.
  • Strong attention to detail and problem-solving skills.
  • Able to work independently and as part of a team.
  • Sound interpersonal and oral/written/presentation skills are needed to present complex and/or new ideas with clarity and simplicity.

Qualifications/Educational Requirements

  • Undergraduate Degree in pertinent field of construction, Engineering, Project Management, Business Administration, Finance, Logistics or Supply Management.
  • A recognized certification in specified fields of Engineering, Contracts management, Program Management, or Procurement Management – PMI, PEO, CPCM, CIPS, CSCP, CPSM, PMP or equivalent
